This Privacy Policy describes how BrokerMate ("we," "us") collects, uses, and protects information when you visit brokermateai.com or use our services.
What happens to a document you upload
BrokerMate does not store your documents. When you scan a rate confirmation, the file is sent to our extraction service, read once, and the extracted fields are returned to your browser. The document itself is not written to our servers, our database, or any storage we control — there is nothing on our side to retain, and nothing for us to lose.
Reading the document requires sending it to Anthropic, the provider of the AI model that performs the extraction. Anthropic processes the document on our behalf; their handling of it is governed by Anthropic's commercial terms and privacy policy. We link to those rather than summarise them, because their retention practices are theirs to state and ours to pass on accurately.
The load data extracted from your documents is stored in your own browser, not on our servers. That has a consequence worth knowing: clearing your browser data deletes it, and it does not follow you to another device. We cannot recover it for you, because we never had it.
Your customers' information
A rate confirmation contains your customer's information as much as your own — shippers, consignees, contacts, and rates. You are responsible for ensuring you have the right to upload documents containing third-party commercial information. If you have confidentiality obligations to your customers, review them before uploading their paperwork to any service, including this one.
Information we collect
- Information you provide. Name, company, email address, and load volume submitted through our demo and early access forms, and any correspondence you send us.
- Website analytics. Pages visited, referring site, browser type, and approximate location derived from IP address. See the analytics section below.
- Rate-limit records. Our extraction endpoint records a count of requests against the IP address they came from, so a single source cannot run up unlimited cost. These records hold a count and a date — no document content and no personal detail beyond the address itself.
How we use information
- To respond to demo and early access requests and to communicate with you about the product.
- To provide and maintain the service.
- To understand how visitors use the website so we can improve it.
- To prevent abuse of the extraction endpoint.
What we don't do
We do not sell your personal information. We do not use your documents or load data to provide services to other customers. We do not store your documents at all.
Cookies and analytics
We use Google Analytics 4 on brokermateai.com and in the BrokerMate web app. It sets cookies to distinguish visitors and measure how the site is used, and it collects the analytics information listed above. You can opt out with the Google Analytics opt-out add-on, or block cookies through your browser settings; the site works either way.
Third-party services
- Anthropic — performs document extraction, as described above.
- Netlify — hosts the website and the web app, and processes form submissions.
- Google Analytics — website and app analytics.
Security and retention
Traffic to and from this site and the app is encrypted in transit over HTTPS.
We retain form submissions and correspondence for as long as needed to respond to you and to meet legal obligations. Rate-limit records roll over daily. Uploaded documents are not retained, because they are never stored. You may request access to or deletion of information we hold about you by emailing brent@brokermateai.com.

We may update this policy from time to time. Material changes will be reflected by the “Last updated” date above.
