Proof of Delivery collection is the least glamorous workflow in freight and one of the most financially consequential. This article covers why PODs go missing, what the delay actually costs, and how to build collection into a system instead of a chore.

Why PODs go missing in the first place

Nobody is hiding your paperwork. PODs go missing for boring, predictable reasons:

  • The driver has the signed BOL but won't scan it until they're home Friday.
  • The carrier's dispatcher received it and it's sitting in their inbox under forty other emails.
  • It was sent — to a general inbox nobody checks, or attached to a reply on an old thread.
  • It arrived, but nobody matched it to the load, so as far as billing knows it doesn't exist.

Notice that every one of these is a follow-up and matching problem, not a people problem. That's exactly the shape of problem software handles better than humans, because software never decides the follow-up can wait until tomorrow.

What late PODs actually cost

Walk through the chain: you can't invoice most customers without the POD.   3. Match on arrival. When a document comes in, the system reads it — OCR handles scans and photos — and matches it to the correct shipment by reference numbers, so it never sits unidentified in an inbox.
  4. Check quality. Is it signed? Legible? Noting exceptions or damage? A flagged exception on a POD should reach a human immediately, because that's a claim conversation waiting to happen.
  5. Alert billing. The moment the paperwork is complete, the load flips to billing-ready and accounting knows. No status meetings required.

What stays human

The chase automates; the judgment doesn't. A POD noting damage, a shortage, or a refused pallet needs a person deciding how to handle the customer and the carrier. Automation's job is making sure that person finds out the day it happens — not two weeks later when the customer disputes the invoice.
